Communications or
University Printing
design or
produce your request, please
make them aware of the following:
• Is
your publication a mailer? • Will your
publication be first class or bulk mail? •
Will your publication have any
business reply materials involved?
PROCEDURES:
- FOLDING &
INSERTING Inserting requires a
minimum of 300 pieces for interdepartmental or outgoing mail.
Note:
Most supplies need to be sent to
Mail/Distribution
Services
unfolded. Exceptions include brochures, booklets, etc.
Please contact the manager prior to having materials printed so that
we can coordinate your mailing with
University
Printing. Make sure your envelopes
and other printed items (letters forms, brochures, etc.) are stored
properly to avoid curl. Warped or curled materials may not run
through the equipment.
Tip:
Odd sizes, slick printed
materials, etc., take longer to process.
Be sure to allow ample lead time.
- LABELING
(for interdepartmental mail)
Mail/Distribution Services
can affix labels (one across) provided to the department by
the
Office of
Information Technology.
- ADDRESS
CORRECTION & INK JET SPRAY ADDRESSING
(for outgoing mail) Upon request,
IT will provide addresses to
Mail/Distribution Services.
We can also accept your addresses on disk in several file formats
such as Microsoft Excel, Microsoft Access and
Quattro Pro.
These addresses on disk will be verified
against the
United States Postal Service’s
national database of addresses and automated with delivery point bar
codes by our mailing software. Your mailing will then be ink jet
spray addressed in zip code order for a neat, professional
appearance.
- TABBING
We will also tab booklets or folded
mail pieces with one or more tabs to seal the open edge, in
accordance with postal regulations.
Tip:
to be tabbed, labeled, or ink
jet spray addressed, the mail pieces cannot exceed 1/4 inch in
thickness.
