LOCAL LODGING ARRANGEMENTS
Whenever the University departments bring in an individual for recruiting, speaker, etc., arrangements have been made to several local hotels/motels to offer special rates. When calling in the reservation, it is imperative that the caller’s name and department be given to the vendor.
Also at the time the reservation is made, a purchase requisition must be sent to Purchasing listing the dates and name of individual for which a reservation was made. This will facilitate payment of the invoices received from the various vendors.
Please note the second paragraph again, as many departments are not following this procedure. This procedure IS TO BE USED regardless of whether it is a suggested motel or another motel of department’s choice.

IMPORTANT!! Contact the Purchasing Department for a purchase order number to give the hotel before making a reservation. Follow up with a requisition to the Purchasing Department listing name of guest, date of stay, purpose (i.e., recruitment, contract) and the purchase order number so it may be matched to the invoice when received.
